Foreword

Welcome to another exciting year educating Pre-Kindergarten children, ages 3 to 5, creating a vision for early childhood learning. As a parent, you are entrusting us with your most valued possession, a loving child.

The teacher and each parent is an important contributor to the teaching and learning team for the child’s future. Each acts as a trustee, providing a safe environment and securing opportunities that define a lifetime. These mutual responsibilities become significant targets for fulfilling the emerging needs of children and families.

The Pre-Kindergarten instructional program runs five days a week, with an A.M. (early arrival) or P.M. (late dismissal) program provided as fee-for-service child care. Early arrival (7:00–8:00 AM) and late dismissal (3:30–6:00 PM) serve the supervisory and safety needs of children and families.

The Pre-Kindergarten program is a warm, caring and safe environment resulting in a strong foundation for future schooling. The young child learns to solve problems in challenging situations. The classroom is an excellent laboratory, helping define and create resources for youthful growth and maturity. The ultimate objective is to foster a lifelong love of learning.

Program description

Capstone Quest Academy provides a private-school Pre-Kindergarten program serving families and children ages 3 to 5 who are not yet eligible for kindergarten. Each learning center sits inside an AmeriSchools Academy charter school location.

Dates and hours of service

The Pre-K instructional program runs five days a week. Capstone Quest is offered during school breaks if participation allows, except for New Year’s Day, Martin Luther King Day, Presidents Day, Memorial Day, Independence Day, Labor Day, Columbus Day, Veterans Day, Thanksgiving Day and Christmas Day. An A.M. (early arrival) or P.M. (late dismissal) program is provided as fee-for-service child care where the facility is licensed for it.

Curriculum

This program is a warm, caring and safe environment providing a developmentally appropriate experience. The young child experiences rules for self-control and solves problems in challenging situations, whether in the community, school or family. The classroom is a community of young children beginning to accept, or reasonably reject, rules for behavior. That experience provides clearly understood limits, helping create personal resources for growth and maturity.

Lesson plans are posted daily, following licensing requirements. Parents are encouraged to read to their child, recite nursery rhymes, sing children’s songs, or play “I Spy” in the car. These shared moments strengthen family bonds. This learning laboratory values play and rest, physical exercise, pre-literacy language exploration, and developing cognitive and social skills.

Program admissions

Admissions criteria

A limited number of spaces are available for Pre-K children ages 3 to 5 who are not eligible for kindergarten. Children participating in the program are expected to be able to:

  • Follow simple teacher directions
  • Independently dress, feed and use the bathroom
  • Interact appropriately with others
  • Move from one activity to another without repeated instructions
  • Express themselves orally in an age-appropriate way

Student registration

All parents must complete registration before their child’s first day. This includes:

  • The registration packet
  • A current student immunization card
  • A current emergency card
  • A copy of the child’s birth certificate
  • Proof of residence

To cancel a registration, notify the registrar two weeks before departure.

Tuition contract

Parents sign a tuition contract requiring weekly payments, due by the first day of each week through the ProCare online portal. A deposit equal to one week’s tuition is due at registration and is credited to the child’s first week of attendance. Weekly tuition reserves the child’s place even when the child is absent. If payment is not received by the first day of the week, the child cannot attend and the space may be offered to another family.

Collections

Program participation requires payment of current fees. Participation is voluntary; payment is mandatory. Unpaid tuition is a contract obligation and may be assigned for collection.

Refunds

No credit or refund is given for absences.

Program participation

Arrival

Parents are responsible for bringing their children to school each day. On arrival, sign your child in using the ProCare app or the tablet provided, and walk your child to the classroom or meeting area. Never leave a child unattended unless a staff member is present to supervise. Leaving a child unattended on early arrival is unlawful under state statute, and failure to follow these protocols may result in a report to Child Protective Services.

Dismissal

Parents sign out using the ProCare app or tablet and collect their children at dismissal. Staff accompany children to the pick-up area. Children are released only to parents or authorized adults named on the contact form; an authorized adult other than a parent must sign the dismissal form and show photo identification. Please be prompt. Late pick-up is charged at $1.00 per minute per child. If an emergency arises, call the registrar with your expected arrival time.

Attendance

Regular, prompt attendance is expected, and licensing requires attendance records for every child. A first-come, first-served waiting list supports program capacity.

Schedule options

The Pre-K schedule offers two options for each family.

  • Program #1: Capstone Pre-K, 8:00 AM to 3:30 PM.
  • Program #2: Capstone Pre-K plus the 7:00 AM to 6:00 PM wraparound program, Monday to Friday. This mirrors the AmeriSchools Academy elementary calendar, except that Pre-K offers a summer session with a two-week recess and other breaks.

Immunizations

As a condition of registration, every child’s immunization record must be current. The record must be stamped by the physician’s office, and the clinic name, address and phone number recorded on the Emergency Health Card before the child attends.

Medication

Parents must tell the school about any medical, physical or disabling condition that limits their child’s participation, including allergies to weather, pollen, food or medicine. A Medication Consent Form authorizes staff to give prescribed medication during the day. The registrar stores and administers medication, which must be in its original labelled container. Children may not carry or take medication themselves.

Snack time

The program follows the food service and nutrition standards in early childhood licensing. Afternoon snack is a learning center in its own right, exploring food and nutrition, and its cost is included in the program fee. The Food Allergies Form is completed at registration so allergens can be removed from snack choices.

Backpacks

Please send a backpack large enough to hold a folder with your child’s name. It carries papers, artwork and keepsakes home. Keeping it in one place at home helps a child take responsibility for their own belongings. Please check the backpack and folder each day.

Fire drills

Unannounced evacuation drills are conducted at least every 30 days, as required by law. Evacuation plans are posted in every classroom.

Emergency provisions

First aid is given by the classroom teacher. A child who becomes ill is accompanied to the school office, and a parent or responsible adult is contacted. Emergency care depends on the Emergency Health Card being current, which must record:

  • Current home address and telephone or cell number
  • Place of employment and phone numbers for all responsible adults
  • Names of four responsible adults other than the parent

Children with communicable conditions, including fever, diarrhea, vomiting or another disabling condition, must stay home. Parents are responsible for reporting the absence and the health condition. Fees are not reduced for absence.

Parent conferences

Formal parent conferences are held every six weeks to discuss each child’s academic and developmental progress. The first conference takes place in person. Informal conferences also happen by phone and message. Please arrange after-care supervision independently where dismissal schedules require it.

Discipline

Play is a powerful teaching activity. Teaching discipline through play focuses on the child experiencing effective behaviors, beginning with adults modelling purposeful acts. Behavioral strategies include demonstrating appropriate coping skills, preparing developmentally appropriate activities sequenced to the child’s maturity, scheduling activities in a controlled environment, and providing clear, consistent and fair rules for behavior.

Pesticide application

Parents, students and staff are informed when pesticides are applied on school property, currently at least 48 hours before application as state statute requires. Notification includes oral notice to pupils and staff, written notice to parents or guardians, and posted signs identifying the application areas. Each site keeps written records of these notifications. This does not include non-restricted disinfectants, sanitizers or deodorizers.

Suspension and expulsion prevention policy

Our commitment

We believe every child deserves to feel safe, supported and welcome in their early learning environment. Young children are still developing social, emotional and behavioral skills, and behavior is a form of communication. We are committed to preventing suspension and expulsion wherever possible, through proactive teaching, strong relationships with families, and collaboration with community partners. Removal from care is considered only as a last resort, after supportive strategies and resources have been fully explored. This policy aligns with the Arizona Department of Economic Security Suspension and Expulsion Prevention Policy.

Prevention and early intervention

  • Maintaining predictable daily routines and nurturing classroom environments
  • Teaching social-emotional skills through modelling and guided practice
  • Using positive behavior guidance and redirection
  • Adjusting classroom environments or expectations to meet individual needs
  • Supporting staff through coaching, reflective supervision and professional development

Family partnership and communication

Families are valued partners. When a behavioral or developmental concern is identified, we will:

  • Share observations with families in a strengths-based way
  • Invite families into problem-solving discussions
  • Develop support strategies or individualized plans together
  • Consider cultural, linguistic and family perspectives when planning support

Inclusion and support for all children

We do not deny enrollment or remove a child because of developmental delay, disability, behavioral challenge or suspected special need without first putting supportive interventions in place. Support may include:

  • Individualized behavior or support plans
  • Environmental or schedule modifications
  • Additional classroom support
  • Developmental screening with family consent
  • Collaboration with early intervention or special education services

Consultation and community resources

Before suspension or expulsion is considered, we seek additional support where available:

  • Referral to AZ STEPS, the Arizona Statewide Training and Technical Assistance for Expulsion Prevention
  • Early childhood mental health consultation
  • Inclusion specialists or behavior consultants
  • Community-based developmental or family support services

Documentation and review

We document observed concerns, strategies used, family communication, supports requested or received, and progress over time. Strategies are reviewed regularly and adjusted.

Suspension or expulsion as a last resort

Suspension or expulsion is considered only when all of the following are true:

  • A serious and ongoing safety risk exists
  • Reasonable accommodations and interventions have been attempted
  • Consultation or external support has been requested where available

If a child must leave the program, we will:

  • Notify the parent in writing at least five business days before disenrollment
  • Work with the family to identify alternative care or services
  • Provide referrals to community resources
  • Support a respectful, planned transition to minimize disruption

Policy communication and review

This policy is shared with families on enrollment, included in the handbook, reviewed annually with staff, and updated as guidance and best practice evolve.
